Terms and Conditions

These Terms and Conditions apply to all bookings made with [Your Company Name]. By paying a deposit or confirming a booking, you agree to the following terms.

1. Bookings & Payments

  • A £50 non-refundable deposit is required to secure all private bookings.

  • Corporate bookings require a 25% non-refundable deposit.

  • Your booking is not confirmed until the required deposit has been received.

  • The remaining balance must be paid 7 days before the day of your event.

  • We accept payment by bank transfer, debit/credit card or cash (by prior arrangement).

Deposits are non-refundable. If you need to change your booking date, we will do our best to accommodate your request, subject to availability.

2. Arrival & Delays

We aim to arrive approximately 15–20 minutes before your booking to allow time for setup.

Delays caused by traffic, road closures, accidents or other circumstances beyond our control will not affect the duration of your booking where reasonably possible. No compensation or discounts will be offered for delays outside our control.

If we are unable to attend due to circumstances such as severe weather, staff illness, vehicle breakdown or technical failure, we will either offer an alternative date or issue a full refund of any payments received.

3. Parking & Access

The customer is responsible for ensuring that a safe and legal parking location is available.

Our gaming van requires:

  • Approximately two to two-and-a-half car lengths of parking space.

  • Adequate room to manoeuvre safely.

  • A clear boarding area at the rear of the van.

  • Safe vehicle access free from restrictions such as low bridges, narrow roads or overhanging obstacles.

The gaming van cannot be parked:

  • On single or double yellow lines.

  • On steep slopes or unstable ground.

  • Where it blocks roads, driveways or footpaths.

  • Where it could receive a parking penalty.

  • On or near road junctions where it may obstruct traffic.

  • Anywhere deemed unsafe by our staff.

Any parking fees, permits or parking charges remain the responsibility of the customer.

Customers should ensure the parking area is available at least 30 minutes before the scheduled start time.

If suitable parking is unavailable on arrival, or our staff determine that the location is unsafe or inaccessible, we reserve the right to cancel the booking without refund.

4. Power Supply

A standard 13A mains power socket must be available within 50 metres of the gaming van.

If power cannot be supplied, we may be unable to operate the event and no refund will be payable.

Where an extension lead is required, it must be positioned safely and must not create a hazard for pedestrians, cyclists or other road users.

5. Internet Connectivity

Our gaming van uses mobile internet for online gaming where available.

As mobile signal varies between locations, online gameplay cannot be guaranteed.

For the best online gaming experience, we recommend providing access to your home broadband via an Ethernet connection where possible.

No refunds, discounts or compensation will be offered if online services are unavailable due to poor mobile or broadband connectivity.

6. Games & Age Ratings

All games played during the hire period of a the gaming vehicle must strictly adhere to the PEGI age appropriate ratings.

It is the party organisers responsibility to liaise with the parents or other involved parties regarding age appropriate gaming and pass onto us any further, additional limitations that they would like us to put in place during the party.

7. Capacity & Supervision

Our gaming van accommodates a maximum of 10 players at any one time.

A responsible adult aged 18 or over must remain at the venue throughout the booking where children are attending.

Our gaming hosts supervise the gaming experience only and are not responsible for general childcare.

8. Food, Drink & Smoking

To protect our equipment:

  • No food or drinks are permitted inside the gaming van.

  • No chewing gum or sweets.

  • No smoking or vaping.

  • Alcohol is not permitted inside the gaming van.

9. Behaviour

Guests are expected to behave respectfully towards our staff, equipment and other players.

We reserve the right to remove any individual or terminate the booking immediately without refund where there is:

  • Aggressive, abusive or threatening behaviour.

  • Deliberate damage or vandalism.

  • Dangerous behaviour.

  • Anyone believed to be under the influence of drugs or excessive alcohol.

  • Failure to follow reasonable instructions from our staff.

The organiser accepts responsibility for the cost of repairing or replacing equipment damaged through negligence or deliberate misuse.

10. Health & Safety

Our gaming van is maintained to a high standard and carries appropriate Public Liability Insurance.

Guests enter and leave the vehicle at their own risk and should always follow staff instructions.

We cannot accept responsibility for medical conditions that may be affected by flashing lights, including photosensitive epilepsy.

Guests who are unwell or displaying symptoms of a contagious illness should not enter the gaming van.

11. Weather

Our gaming van operates in most weather conditions.

However, if severe weather (including high winds, flooding, snow, ice or storms) makes travel or operation unsafe, we reserve the right to postpone or cancel your booking.

Where possible, an alternative date will be offered.

12. Mechanical Breakdown

Although our vehicle and equipment are regularly maintained, unforeseen breakdowns may occasionally occur.

Should a breakdown prevent us from attending or completing your booking, our liability will be limited to either:

  • Rearranging your booking to another mutually agreed date; or

  • Refunding the amount paid for any part of the booking that could not be provided.

13. Damage to Property

The customer is responsible for ensuring that the proposed parking location is suitable for a vehicle of our size and weight.

We cannot accept responsibility for damage to driveways, paving, lawns, soft ground, drains or other surfaces where parking has been requested by the customer.

14. Equipment Failure

In the unlikely event that a console, television, simulator or other equipment develops a fault during your booking, we will make every reasonable effort to repair or replace it.

Compensation will not be payable where the overall gaming experience can still reasonably continue.

15. Lost Property

Any personal belongings left inside the gaming van will be retained where possible for a reasonable period.

We cannot accept responsibility for lost or damaged personal items.

16. Cleaning Charges

Should excessive cleaning be required due to spillages, sickness, food, mud or any avoidable mess, we reserve the right to charge reasonable cleaning costs.

17. Personal Devices

Personal electronic devices must not be connected to our equipment, power supplies or network without permission from a member of staff.

18. Toilet Facilities

The gaming van does not have toilet facilities. Guests should use facilities available at the event venue or within the customer's property.

19. Photography & Social Media

From time to time we may take photographs or short videos during events for use on our website or social media.

If you do not wish any member of your party to appear in promotional material, please let us know before the event begins.

20. Limitation of Liability

We are not responsible for:

  • Loss or damage to personal belongings.

  • Mobile network interruptions.

  • Internet outages.

  • Delays caused by circumstances beyond our reasonable control.

  • Parking restrictions imposed by local authorities.

  • Damage arising from unsuitable parking locations requested by the customer.

Nothing within these Terms excludes liability where it cannot legally be excluded.

21. Force Majeure

We shall not be liable for any delay or failure to perform our services where this results from circumstances beyond our reasonable control, including but not limited to severe weather, road closures, accidents, utility failures, industrial action, government restrictions or other unforeseen events.

22. Right to Refuse or Terminate a Booking

We reserve the right to refuse, suspend or terminate any booking where the safety of our staff, customers, members of the public, the gaming van or our equipment is at risk.

This includes (but is not limited to) unsuitable parking, unsafe access, dangerous behaviour, abusive conduct, illegal activity or any circumstance that prevents us from operating safely.

Where a booking is cancelled or terminated due to circumstances within the customer's control, no refund or compensation will be payable.

23. Changes to These Terms

We reserve the right to amend these Terms and Conditions at any time.

Any amendments will not affect bookings already confirmed unless required by law.
